Document Management System Module
The document Management System module was designed for users who want to manage their electronic files. With the Document
Management Module you can add typical document management functionality to your ZyIMAGE archives. You can then perform
check-in/check-out actions and add version control to your documents.
Check-in/check-out with the document management system
When you check out a document from the archive, no one else is able to change or modify the document. When the document is cheked back in with the
document management system another user with edit permissions can then check it out and work on it. This assures stable quality control of
important documents.
Version control with the document management system
Version control lets you store multiple versions of one docuemn t in the same ZyIMAGE archive.
After you have created a document, you can add this to your document management system. The document is stored in a
document management TOC and becomes full-text searchable.
From the document management TOC you can check out documents to your hard drive and create new versions. After working on it
you can check it back in the document management TOC.
Records Management Module
The records management module has been designed for people who want to controll all information that enters or leaves your company.
This module fully complies with the Dod 5015.2-STD and the NRO standard for electronic records management systems.
Understanding Records Management
Records retain tangible evidence of an organization's structure, procedures or other activities. Records can include books
papers, maps or other document materials. Even though records can be the most simple of documents, they often require a
rigorous and consistently applied process to manage them.
Although records management focuses on maintaining a repository of information that documents relevant events within an organization,
these repositories are generally focused on keeping these items for a specified length of time. In addition, an records management
system usally deploys a rolle-bases user security model.
Records Management File Plan
Organizations should have detailed understanding of what needs to be kept as a record, for how long and what needs to be destroyed.
This understanding is defined in a file plan.
Records managagement systems use automated processes to manage any record regardlesss of format: paper, electronic, microfilm and so forth.
To use the Records Management module, a database system, such as Microsoft (R) SQL Server Or Oracle (R) Database is required.
All information concerning the records is stored in the database together with the structure of the records management system.
